How to Choose a Canvassing App: 8 Checks to Run

An afternoon trial for choosing a canvassing app: 8 hands-on checks, from how a volunteer joins to what texting costs, with a pass/fail scorecard.

A campaign should spend its time talking to voters, and every hour lost to software is an hour taken from the doors. That is the standard to hold any canvassing app to, and a feature list cannot tell you whether an app meets it. A page of 100 features reads the same whether the product holds up on a Saturday shift or falls apart at the first apartment building.

The better test is an afternoon. Sign up, bring a small sample of your own list, invite 1 volunteer, and knock 5 practice doors in your own neighborhood. Each of the 8 checks below says what to try, what a good answer looks like, and how we built Activate to answer it, so you can run the same checks on any tool you are weighing.

A volunteer should be on your team before the coffee gets cold

Hand your phone to a friend and time how long it takes them to join. Any step that sends them to an app store, a password reset or a waiting room is a step a real volunteer abandons on a doorstep. Then check the reverse: can you take someone off the team, and what happens to the doors they were holding?

In Activate, you invite your team with a QR code, and canvassers join in seconds with no app store. The team code is reusable, and the manager and canvasser codes are separate, so leadership and volunteers come in with different permissions. If a code gets into the wrong hands, a manager can replace it. Replacing a code does not remove anyone who already joined: removing someone is a separate step on the team list, and it releases their assigned voters back to the campaign so the work keeps moving.

Your own list should come in exactly as you sent it

Pick 50 rows from your voter file, including a ZIP code that starts with 0 and the longest voter ID you have, and import them. A good importer shows you real rows before anything is saved and tells you which rows it cannot use. A bad one quietly turns 02134 into 2134 and a voter ID into scientific notation, and you find out at the door.

Activate's importer detects the delimiter rather than assuming commas, and a ZIP of 02134 stays 02134 because every value is kept as text. Split address columns are merged back into a single address at the mapping step. Rows with none of name, address, phone or email are skipped and flagged in the preview. One thing to know before you upload: the importer refuses the identical file uploaded twice to the same campaign, but it does not merge people, so deduplicate your list first. Our import readiness checklist walks through that pass.

Voter data should be locked at rest and opened one record at a time

Ask every vendor 2 questions: how is the list stored, and who can see all of it at once? An answer that names an encryption standard and limits what a volunteer's phone can open is worth more than any badge on a homepage. It is also fair to ask which outside audits or certifications a vendor holds, such as SOC 2 or ISO 27001, and to read the answer literally.

Activate uses AES-256 encryption at rest, and we never sell or share your voter list. A canvasser's phone opens one assigned record per request, and we can't decrypt your voter data in bulk. When the importer uses AI to help prepare a complicated file, it sees column headings and sanitized sample rows, never voter details. Activate holds no SOC 2 or ISO 27001 attestation today, and we would rather you know that from us.

The door screen should work with 1 thumb and a clipboard in the other hand

Stand on a real porch with your phone and record 5 outcomes: a yes, a no, nobody home, a door you skip, and one with a note. Count the taps. If you have to scroll, zoom or open a menu to log a common answer, multiply that friction by every door in your universe.

Activate's mobile-first canvasser screen uses large, thumb-friendly response controls, so responses are captured one-handed with big No, Skip and Yes buttons. Each visit records Yes, No, Not Home or Skip, plus notes. The app runs in English and Spanish, and each volunteer's screen follows their own phone's language, so a mixed-language team works from the same campaign. Our guide to multilingual canvassing covers what that changes on a shift.

Splitting the doors should keep streets together and stop double knocks

Assign your 50 sample rows across 2 people and look at the result. A good split keeps each street on one route, keeps an apartment building in one place, and never hands the same door to 2 volunteers. When a vendor says its routes are "optimized," ask what the software actually does with an address list that has no map coordinates, which is most voter files.

Activate's Smart Distribution auto-assigns voters to canvassers so nobody knocks the same door twice and no street gets missed. Routes are organized by location and building, and the manager sets the route size. Smart Distribution is a deterministic address sort, and no AI model is involved, which means you can predict how your list will be split before you press the button.

The dashboard should show the shift while it is still running

Knock a practice door, then open the manager view and wait. A dashboard you can only trust the next morning is a report. The one you want lets you move a volunteer to an unfinished street before the shift ends.

Activate's live dashboard updates automatically as your team works, so you can course-correct while the shift is still on. It refreshes on its own every few minutes rather than second by second, which is plenty for deciding where the next hour of canvassing goes. If you want help deciding what to look at once the numbers arrive, measuring conversations, not just door knocks is the place to start.

Your results should leave with you whenever you want

Export everything from your test campaign and open it in a spreadsheet. Check that every outcome and every note you recorded is there. A campaign that cannot get its own results out cannot plan a second pass, hand data to a coalition partner, or switch tools later.

Activate exports campaign data as CSV at no charge, so your results serve your own records and the next round of visits. Your volunteers, your voters, your data and your campaign stay yours.

Texting should show its rules and its cost before the first message

Open the texting screen of any app you are considering before you need it. You want to see who the messages are registered to, how opt-outs are handled, and what a send will cost, all before anything goes out. Registration takes time, so start it early in the campaign rather than the week before a deadline.

In Activate, texting is registered in your committee's own name. You text voters one-to-one from your campaign number, with opt-out and quiet-hours handling built in. Texting uses purchased Credits, and the app shows the exact cost before anything is sent. You can text the voters in your list who have a phone number on file, and the import's cost step shows how many of them that is.

Score each check before you commit

Run the checks in one sitting and write down a pass or a fail for each. A tool that fails the first 2 will lose volunteers in the first week, whatever else it does well.

Cost is the ninth check, and it deserves its own worksheet. With Activate, routes, doors and phone banking cost nothing, and there is no per-seat fee, so team size stays a field decision. Bring-your-own-list imports include the first 5,000 usable records, and every verified account gets 25 free Credits once. Voter data, texting and records past that allowance use Credits you see before you confirm. For putting any tool's full price on one page, use our canvassing cost worksheet.

Pick the app that gets your volunteers to the door

We built Activate around a simple idea: a campaign should not need a large technology budget, a seat fee for every new volunteer, or a stack of disconnected programs just to knock on doors, track conversations and see its progress. Run these checks on Activate and on whatever else you are considering, and let the afternoon decide. If you want to start with ours, set up a campaign and invite your first volunteer; free core canvassing means the test costs you nothing but the walk. No hassle, only hustle.
